This Privacy Policy explains how Future Council Ltd (ABN 71687811623 ) (hereafter referred to as Us or We) collects, uses, stores and otherwise handles personal information, and your rights in relation to the personal information we hold about you.

Future Council is an organisation for children and young people aged 9-16 years. Personal information will not be collected for any young person without guardian consent. Every young person requires guardian consent before becoming a Future Council member.

We follow the Australian Privacy Principles in the Privacy Act 1988.

COLLECTION OF PERSONAL INFORMATION

What is personal information?

‘Personal information’ means information or an opinion about an identified individual, or an individual who is reasonably identifiable.

What kinds of information do we collect and hold?

We collect and hold a range of personal information necessary to carry out our activities and functions. The kinds of personal information that we collect and hold about you will depend upon the nature of your level of engagement as a member of the Future Council.

When you become a member of the Future Council, you are required to create an account, and all the activities you engage in through the Future Council are linked to your account.

The personal information we collect includes:

  • Personal details (such as your name, date of birth, county and city/town)

  • Contact details (such as your or your guardian’s email address)

  • Any other information you voluntarily share with us (such as subject matter that interests you, what you would like to see from us, how you would like to be involved in the Future Council etc.)

For employees and volunteers, we may collect additional relevant information including:

  • information contained in resumes

  • educational details, employment history, skills and background checks

  • references from past employers and referees

  • information collected during the interview or assessment process

  • personal information required to make payments, such as bank account details, tax file number and superannuation details.

Personal information will not be collected for any young person without guardian consent. Every young person requires guardian consent before becoming a Future Council member.

What is sensitive information?

Some personal information, such as information relating to racial or ethnic origin, religious beliefs or affiliations and health information (including information about a disability) is sensitive and requires a higher level of protection.

We will only collect your sensitive information if we have your consent and the collection is reasonably necessary for us to carry out one or more of our functions or activities. We may request your sensitive information if you are participating in a Future Council project, event or workshop.

We will only collect sensitive information directly form you and only if you consent to our collection.

HOW WE COLLECT PERSONAL INFORMATION

We usually collect personal information directly from you or your guardian.

We will usually collect personal information from you (or your parent, guardian or teacher) when you:

• access and use any of our websites or social media platforms

• communicate with us through correspondence, email, chat or other online forms

• register for any of our projects, events or workshops

• participate in research or evaluation discussions, interviews or focus groups that we run.

Sometimes we will collect personal information about you from a third party, these third parties may include:

• your school or educational institution

• your employer or another representative of your organisation

• service providers

• social media.

HOW WE HOLD PERSONAL INFORMATION

We hold personal information in electronic form and occasionally in hardcopy files, and take reasonable steps to protect personal information from misuse, interference, loss, and unauthorised access, modification or disclosure.

We may hold your information in either electronic or hard copy form. When we no longer need your personal information, we will either securely destroy it, or irreversibly anonymise the data (and we may further retain and use the anonymised information).

We store electronic records within our own secure network and through third party data storage providers. We don’t store any hardcopy files. Access to personal information within our network is password protected, and access is appropriately limited.

Our third-party data storage providers are required to protect personal information in accordance with applicable laws and take appropriate technical and organisational measures against unauthorised or unlawful use of personal information or its accidental loss, destruction or damage.

THE PURPOSES FOR WHICH WE COLLECT, HOLD, USE AND DISCLOSE PERSONAL INFORMATION

General purposes

We collect, hold, use and disclose personal information for the purposes for which it was collected, related purposes, and other purposes including:

• organising, marketing and running our programs, workshops and events (which may include promotions and competitions run by us)

• to enable you to use our websites and social media channels

• assessing and considering applications from prospective employees, contractors, volunteers and service providers

• developing and managing relationships with our employees, contractors, volunteers and service providers

• contracting out some of our functions to external service providers and suppliers (such as IT, mailing and couriers, research, event management, travel, professional advisors and recruitment)

• complying with our legal and regulatory obligations.

Marketing purposes

We like to keep young people and our supporters informed about the work we do. If you provide your contact details to us we will add you to our mailing list and let you know about upcoming programs, events and workshops. These communications may be sent in various forms, including mail, email and social media content.

We will only send you these communications if you would reasonably expect to receive them or you have consented. You may opt-out of receiving communications from us at any time by contacting us or by using the opt-out (unsubscribe) mechanism provided in the communication.

ACCESSING AND CORRECTING THE PERSONAL INFORMATION WE HOLD

You can request to access the personal information we hold about you. We will take reasonable steps to provide you with access to your personal information.

If you think any personal information we hold about you is incorrect, you can request that we correct that information. We will take reasonable steps to correct your personal information if we are satisfied that it is inaccurate, out of date, incomplete, irrelevant or misleading.

Requests to access and correct your information should be made by email or post using the details provided under the ‘Contacting Us’ heading. Note that we will need to verify your identity before processing your request. We will endeavour to respond to your request within 30 days.

You can also request to have the personal information we hold about you deleted. We will take reasonable steps to do so.

HOW TO MAKE A COMPLAINT

If you have a complaint about how Future Council has collected or handled your personal information, please contact us using the details provided under the heading ‘Contacting Us.’

Please include your name, an outline of your complaint and an email or postal address so that we can write back to you. We will treat your complaint confidentially and respond within a reasonable time.

If you are unhappy with our response, you can refer your complaint to the Office of the Australian Information Commissioner or, in some instances, other regulatory bodies, such as the Victorian Privacy Commissioner, the New South Wales Privacy Commissioner or the Victorian Health Services Commissioner.

If you are a resident of the European Union for the purposes of the General Data Protection Regulation (GDPR), then in addition to what is set out above, the following applies to you.

Future Council is a data controller for the purposes of the GDPR and by your consenting to this Privacy Policy, Future Council is able to control your Personal Data in accordance with this Privacy Policy. Our contact details are set out under the heading ‘Contacting Us’.

In addition to your rights set out above, you may:

• withdraw your consent to Future Council’s use of your personal information as described in this Privacy Policy by getting in contact with us and by opting out of ourdirect marketing by using the opt-out mechanism. Future Council will take reasonable steps to ensure that the personal information we hold about you is deleted

• request that Future Council provides you with a copy of the personal information Future Council holds about you in a portable and machine-readable form; or

COOKIES AND USAGE DATA

We may record certain information about your use of our websites and social media profiles to help us analyse trends and improve functionality.
